Minutes of Meeting of 9 January 2003

Minutes of last meeting
The last formal meeting was 10 October 2002. These were accepted as a
true record.
AGM / Open Meeting
In the absence of Alan Hooker and no response on acceptance of a
date SB suggested 25-27 February and Harry Foren later confirmed QE School
available for AGM Thursday 27 February arrive 7:30-7:45pm for 8:00pm
start.
SB - Information advised to Patrick Hull for the board outside the Vicarage
and Shirley Brown for a few A4 notices for the schools and shops
(DONE).
Ted Malone please advise availability to provide summary on Picnic
activities.
SB advise local groups etc. (DONE for those on e-mail (inc Town
Council) needs letter to newspapers)
Harry Foren: Has confirmed that Kevin and Kate Robinson can provide wine
and a few cheese nibbles.
SB has since e-mailed proposed agenda to Nicola Rule, Mike Westcott Rudd
and Alan Hooker to ensure compliance with our Articles of Association
and Constitution. Whilst we need to cover retrospective aspects this meeting
is seen as the best means of encouraging input from the wider community
and as such an emphasis will be placed on the other groups and options
for more involvement in 2003.
Gala Week
SB noted that in response to the letter sent to all affiliated groups,
positive replies had been received thus:
- Bowls Club: Offered continued support and new ideas. GA advised the
consideration of a knockout fun event. Possibly a Bowls Club Member
per pair of non-Members to assist, encourage and participate.
LH to liaise with Roy Leighton
- GMC Rovers: Roger Coxhead had suggested that the Senior Team could
provide a Gala activity of Beat the Goalie or other football
activity. SB will follow-up
- GMC Baptist Church: Geoff Larcombe noted the idea of a musical event
in a neutral venue. GL to discuss with Fred Carter availability of The
Comrades Club
- Community School/PTA suggestions received and subsequently
discussed by CO and ShB. The PTA will run a Teddy Bear's Picnic (CO
will co-ordinate). A local walk/guided walk is under discussion with
Huntingdon & Godmanchester Historical Society and The Friends of
QE School.
ShB to provide update on walk and organisation
CO to arrange Teddy Bear's Picnic (Sunday 6 July using Community School
grounds) & discuss with Peter Heseltine games ideas
for the small children and parachute.
ShB to book school.
Gala Day
As noted in earlier meetings Clown is booked (MS to copy contract
to SB) and Kick Boxing is booked (ShB to confirm a minimum 20 minute slot,
to Jeff Scott, but noting the Sealed Knot confirmation is awaited and
this will influence requirements)
Sealed Knot
SB spoke with Sealed Knot and expects confirmation by end of January
regarding the availability of sufficient of their local regiment to ensure
a good event in Gala Procession, two arena re-enactments and small living
history area. SB to check before next meeting
Dogs
NR to be aware of possible need to contact in mid-Feb
Marching Bands
FC will be confirming information and prices on possible marching
bands.
Bunting
AH was asked to check if there was any unused bunting as all that
which has been used previously is life expired. If necessary, purchase
replacement.
SB to check on the installation of bunting for approximately 22 June.
Toilets
AH needs to urgently look at the minor alterations required. PH will
check progress.
Marquee/tent
SB noted concern over the security of both the borrowed tent and
our hired equipment from Friday to Sunday.
CO will gain estimate of typical costs for security cover (Picnic-in-the-Park
funding to cover this).
Ted Malone to note
Huntingdon District Council funding for 2004
SB has since contacted the HDC but received a negative response that
the events we arrange would not be eligible for support. Concern here
over future funding.
Bar
SB had confirmed bar available for the two days provided by the Marex
Inn, Ramsey Mereside, as per last year. CA MUST provide the tent, Marex
will get occassional license, own generator etc.
Picnic-in-Park Brass Band
MS noted that RAF Wyton was unfortunately unable to participate and
was waiting on Ely group(s).
MS to note the alternative leads Clare Bond has for others.
Bridge Magazine
SB noted that there had been a good suggestion from GA last year
on Businesses which used to be in the town, how these had changed etc.
Discussion included the Town walk and an idea to include photographs of
features people may like to look out for during their walks, either guided
or independently at other times.
SB to check with SS on the possibilities for reproduction and some colour
CO will be running in the London Marathon this year (GOOD LUCK!) and
offered an article on preparation and the experience.
PH noted that with Bill Tatman's retirement last year, it would be appropriate
to include some words reflecting on his contribution as a well known character.
NC offered an update on the made things she and Tex get up to in a 2CV
(racing, that is....) and the championship
AOB
It was noted that Buckden etc had much better Christmas lights than
Godmanchester, and that we fail to capitalise on the attractive aspects
of the lighting reflecting on the river.
SB was requested to write to the Town Council in this respect.
